Plain-language summary. We use personal information to operate this website, secure controlled areas, answer enquiries and evaluate possible projects or investment relationships. We do not sell personal information or use it for third-party behavioural advertising.

2. What this notice covers

This notice covers polisplexity.tech, its enquiry and proposal forms, the controlled Investor Center, and related pages operated by Polisplexity LTD. A municipal deployment, research project or client-hosted product may have its own project-specific notice and contractual data-processing terms. Those project-specific terms take priority for that processing.

Third-party websites and services linked from our pages have their own privacy notices.

3. Information we collect

  • Identity and contact data: name, email address, telephone number when supplied, organisation, role and country.
  • Enquiry and project data: messages, city challenges, proposals, RFP details, areas of interest and correspondence.
  • Investor-access data: access requests, organisation and role, interest category, reference code, access status and related correspondence. Access keys should never be reused from another service.
  • Technical and security data: IP address, device and browser information, request timestamps, server logs, session identifiers and anti-abuse signals.
  • Optional Web3 data: a wallet address, signed message or related proof only when a user actively chooses a Web3-enabled function.

We normally collect this information directly from you or from the device you use. We may also receive business contact information from an organisation you represent, a project partner or a publicly available professional source.

Please do not submit passwords, government identifiers, payment-card data, health information, biometric data, confidential municipal datasets or other regulated information through a general website form.

4. How and why we use information

We do not use website-form data to make solely automated decisions that produce legal or similarly significant effects.

5. Cookies and local storage

The website uses first-party cookies that are necessary for security, request validation and session continuity, including an anti-forgery token and a Polisplexity session cookie. These are not used for behavioural advertising. Session cookies normally expire after a limited period or when the session ends.

If we introduce non-essential analytics, advertising or similar storage technologies, we will provide clear information and a consent choice before using them where consent is required. You can also remove or block cookies through your browser, although necessary functions may then stop working.

6. Who receives information

We disclose personal information only where necessary to:

  • hosting, infrastructure, email, security and technical service providers acting for us;
  • authorised personnel and project partners who need it to assess or deliver the requested work;
  • professional advisers, insurers, auditors and prospective transaction advisers under appropriate duties of confidentiality; or
  • courts, regulators, law-enforcement bodies or other parties where disclosure is legally required or necessary to protect legal rights.

We do not sell or rent personal information.

Optional IPFS functions

A Web3-signed submission may use Pinata or the InterPlanetary File System (IPFS) to create a proof record. IPFS content can be public, replicated and difficult or impossible to erase. The interface must identify this before the optional function is used. Do not use an IPFS option for personal, confidential or regulated material. Contact us before using it if you are unsure.

7. International access and transfers

Polisplexity works across the UK, Mexico and the EU. Personnel or service providers outside the UK may therefore access information where necessary. Where UK data-protection law treats this as a restricted transfer, we use an applicable safeguard or exception, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses. You may ask us for further information about the relevant safeguard.

8. How long we keep information

  • General enquiries and unsuccessful access requests: normally up to 24 months after the last meaningful contact.
  • Project, contract, invoice and transaction records: normally up to seven years after the relationship or relevant financial period ends.
  • Routine security and server logs: normally up to 90 days, unless needed longer to investigate an incident or meet a legal requirement.
  • Marketing preferences and suppression records: for as long as needed to respect the preference or demonstrate compliance.

We may shorten or extend these periods when the information is no longer needed, a legal hold applies, a dispute exists, or law requires a different period. Public or replicated IPFS records may not be technically erasable.

9. Your rights

Depending on the processing and your location, you may have rights to request access, correction, erasure, restriction, portability, or to object to processing. Where we rely on consent, you may withdraw it at any time without affecting earlier lawful processing.

Email contact@polisplexity.tech with “Privacy rights request” in the subject. We may ask for proportionate information to verify identity. You may complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint. If another supervisory authority applies, you may also contact that authority.

10. Security and children

We use proportionate organisational and technical safeguards, including encrypted transport, access controls, session protection, validation and rate limiting. No online service can guarantee absolute security. Please notify us promptly if you believe information or credentials have been compromised.

The website is directed to professional and institutional users and is not designed for children. Do not submit information about a child through a general form unless a specific, authorised project process and notice applies.

11. Changes and contact

We may update this notice when services or legal requirements change. We will revise the review date above and provide a more prominent notice where a change materially affects people.
